Privacy policy

This Privacy Policy explains how ExtendAssure LLC ("ExtendAssure," "we," "us," or "our") collects, uses, and shares information in connection with:

- the ExtendAssure app, which merchants install on their ecommerce store (either via the Shopify app store or a similar platform) to offer extended warranty coverage to their customers ("Merchants," "you," when we're addressing a merchant), and
- ExtendAssure.com, where consumers who purchased a warranty can manage their coverage and submit claims ("Shoppers," "you," when we're addressing a shopper).

If you are a Shopper, your relationship for the underlying purchase is with the Merchant you bought from -- this policy covers what ExtendAssure itself does with your information as the company administering warranty coverage and claims on that Merchant's behalf.

1. INFORMATION WE COLLECT

From Merchants (via the Shopify App):

When you install the ExtendAssure app, Shopify grants us access to certain data in your store, limited to what the app needs to function:

- Order information -- order and line item details for products with warranty coverage attached, so we can create and track the corresponding warranty record.
- Customer information -- the name and email address of the customer who purchased a warranty-covered order, so we can identify who holds a given warranty (e.g., when they contact us about a claim, or when they sign in to ExtendAssure.com).
- Product information -- product and variant details needed to price and apply warranty coverage.
- Store and billing information -- your shop domain, the plan/category you select, and usage-based billing records processed through Shopify's Billing API.

From Shoppers directly:

If you submit a claim through ExtendAssure.com or a Merchant's claims portal, we collect what you provide: your account email, a description of the issue, and any messages or files you choose to attach to the claim.

Automatically:

Standard technical information (e.g., IP address, browser type, timestamps) is logged by our hosting and email infrastructure for security and delivery purposes. We do not use advertising or cross-site tracking cookies. Any cookies set by the embedded app admin interface or the storefront are limited to what's required for the app and the underlying Shopify storefront to function.

2. HOW WE USE INFORMATION

We use the information above to:

- Create, price, and track warranty coverage tied to a specific order and customer.
- Process and communicate about claims, including emailing Shoppers and Merchant staff about claim status.
- Calculate and collect ExtendAssure's share of warranty revenue from Merchants via Shopify's Billing API, and process refund credits when a covered order is refunded.
- Operate, maintain, and improve the app and ExtendAssure.com.
- Detect and prevent fraud, abuse, or security issues.
- Comply with legal obligations, including responding to the data requests described in Section 5.

We do not sell personal information, and we do not use Shopper or Merchant customer data for advertising or marketing to that customer without their consent.

3. HOW INFORMATION IS SHARED

- Between our own systems. ExtendAssure operates both the merchant-facing app and the internal claims-processing system used by our staff to review and resolve claims. Warranty and claim data moves between these systems as needed to do that -- this is an internal transfer within ExtendAssure, not a third-party disclosure.
- Shopify. The app operates on and through the Shopify platform, which has its own role in processing this data as the underlying commerce platform. See Shopify's Privacy Policy (https://www.shopify.com/legal/privacy) for how Shopify itself handles data.
- Service providers. We use third-party infrastructure providers -- for application hosting and for transactional email delivery -- solely to operate the service on our behalf, under obligations to protect the data and use it only for that purpose.
- Legal reasons. We may disclose information if required by law, or to protect the rights, safety, or property of ExtendAssure, our Merchants, or Shoppers.
- We do not share Shopper information with other Merchants, and we do not share one Merchant's store data with another.

4. DATA RETENTION

We retain warranty and claim records for as long as needed to administer active coverage, resolve claims, and meet our own legal, accounting, and dispute-resolution obligations -- coverage terms run up to four years, and we retain records at least as long as a claim could still be filed. If a Merchant uninstalls the app, we retain their store's data only as needed for these purposes, and it is deleted or anonymized in accordance with Section 5 below.

5. YOUR RIGHTS AND CHOICES

Shoppers: you can request access to, correction of, or deletion of your personal information by contacting us at support@extendassure.com, or through your Merchant. Because the app runs on Shopify, we also honor Shopify's standard privacy webhooks:

- Data request -- if a Shopper requests their data through Shopify, we compile the relevant warranty records and provide them to the Merchant.
- Customer redaction -- if a Shopper's data is redacted through Shopify (e.g., at the Merchant's request), we anonymize the corresponding warranty records in our systems.
- Shop redaction -- 48 hours after a Merchant uninstalls the app, Shopify notifies us to redact that store's data, and we anonymize the remaining records accordingly.

Merchants: you can access and manage most of your store's warranty data directly in the app. You can request deletion of your account data by contacting support@extendassure.com or by uninstalling the app, which triggers the redaction process above.

Depending on where you live, you may have additional rights under laws like the GDPR (EEA/UK) or the CCPA/CPRA (California) -- including the right to access, correct, delete, or limit the use of your personal information, and the right to lodge a complaint with your local data protection authority. Contact us at support@extendassure.com to exercise these rights.

6. SECURITY

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is 100% secure, and we can't guarantee absolute security.

7. INTERNATIONAL DATA TRANSFERS

Our infrastructure providers may process and store data in countries other than where you live. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for these transfers.

8. CHILDREN'S PRIVACY

ExtendAssure is not directed to children, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us at support@extendassure.com and we will delete it.

9. CHANGES TO THIS POLICY

We may update this policy from time to time. If we make material changes, we'll update the effective date above and, where appropriate, provide additional notice.
